Halaxy review 2026: an honest look for Australian practices

Halaxy’s practice software is free. Its SMS, claims, telehealth and card payments aren’t. What each one costs, how claiming and booking work, what reviewers say, and what to check before you move your practice onto it.

Halaxy's pitch is that the practice software is free, and that part is true. The calendar, online bookings, patient records, clinical notes, invoicing and reports cost nothing, for any number of practitioners and locations. You pay for the things that cost Halaxy money to provide: text messages, claims, telehealth minutes, payment processing and a few add-ons.

That model makes Halaxy the cheapest system for most small practices, and the hardest to predict. This review covers what's free, what each paid thing costs, how claiming works, what it's like to connect to your website, what reviewers say, and what to check before you move your practice onto it.

What's free

According to Halaxy's pricing page, the free core includes the calendar, online bookings and a listing in Halaxy's directory, email reminders, patient records, clinical notes, invoicing, reports and more than 700 clinical tools, such as the DASS-21 and K10 questionnaires. There's no limit on practitioners, locations, appointments or file storage, and no card is needed to sign up.

How credits work

Everything paid is bought with credits. Credits are priced in Australian dollars including GST, and the price depends on the size of each top-up, not on how much you use in a month.

Credits never expire, but they aren't refunded if you leave. A practice that tops up $400 at a time pays about a third less per credit than one that tops up $50 at a time.

Some features are monthly subscriptions paid in credits: a dedicated SMS number or custom sender name is 50 a month, two-way calendar sync 25 per practitioner, white labelling 50 or 150, a fax number or the API 150.

Payment processing, and the surcharge change

If patients pay through Halaxy, it takes a fee on each successful payment. The rate depends on how much you've processed in the past 90 days. These are the rates in Halaxy's help centre from 1 October 2026, including GST. Halaxy's pricing page gives a rounder range, so we've used the help article.

Until 1 October 2026 practices could pass these fees on to patients. Halaxy has now removed that setting, because the card networks banned surcharges from that date following the Reserve Bank's review. On a $220 session at the lowest band, the fee is about $5.07, and it now comes out of your pocket or goes into your price. Practices in the top three bands also get calendar sync and a custom SMS name free.

Claiming

Claiming is where Halaxy is strongest for psychology and allied health. Medicare patient claims, bulk billing and DVA are built in. Bulk bill payments arrive overnight and DVA about a day later. ECLIPSE handles in-hospital claims. Private health funds go through Tyro Health online, or on the spot with a Tyro terminal, which needs a wired internet connection.

Two details catch people out. "HICAPS" in Halaxy means HICAPS Digital Claims, for NDIS, TAC and WorkSafe Victoria, not a HICAPS terminal for health funds. And Halaxy's one-click NDIS claiming only works for NDIA-managed participants; plan-managed and self-managed participants are invoiced. For a bulk payment request in PRODA, Halaxy produces an upload report.

Online booking and the directory

Patients can book through Halaxy's public directory, through a booking page or button on your own website, or through links set up for a particular practitioner, location, fee or appointment type. You can take a deposit, full payment or card details at booking, and patients can search for the next free slot up to three months ahead. A practice page shows availability across up to ten practitioners.

The directory has three settings: public, hidden, or "enabled but not searchable", which means the profile works by link but doesn't appear in Halaxy's search results. That last one is useful if you want Halaxy's booking engine on your website without competing for attention in its directory. We found no per-booking fee for directory bookings, though the SMS confirmation still uses a credit. We found no Reserve with Google integration; you paste your booking link into your Google profile yourself.

Telehealth and AI

Telehealth is built in, on Amazon's video platform, and Halaxy says it doesn't record calls. It costs two credits per 15 minutes per patient, so a 50-minute session is roughly six to eight credits, depending on how part-blocks are counted. You can attach a free Zoom link instead if you prefer.

AI Scribe costs one credit per 15 minutes, and since April 2026 it's free inside Halaxy's own telehealth calls. Patient summaries and the practice assistant chat are free. Halaxy says audio isn't stored and data isn't used for training. Getting the patient's consent to an AI scribe is your obligation, not Halaxy's.

Those figures are for credits only, including GST. If patients pay by card through Halaxy, add the processing fee: for the psychologist taking 60 payments of $220, that's about $304 a month at the lowest band, which is more than everything else combined. Practices that take payment some other way, such as a terminal from their bank, avoid it but lose the automation.

For comparison, our Cliniko pricing guide works out the same kind of practice on Cliniko at about $96 a month for a solo practitioner and $271 for four. Halaxy is cheaper on software at every size we've priced.

What reviewers say

Not much, in public. In October 2026 Halaxy had no reviews on Capterra Australia, two (both five stars, praising support) on the Xero app store, three on Trustpilot averaging 2.9, and four on ProductReview.com.au averaging 1 star, at least two of which were patients reviewing a clinic rather than the software. That's too small a sample to mean much either way.

The handful of negative reviews mention reliability problems with PDFs and email delivery, an interface that feels clunky, and slow communication about known bugs. The positive ones mention the free core and customer service. Halaxy says it has more than 40,000 practitioners, and its own pages give figures from 40,000 to 60,000, so the silence on review sites probably says more about how small practices choose software, by word of mouth, than about the product.

Leaving, and what you can't take with you

A full practice export is a self-serve zip file, but you have to email Halaxy first to switch it on, and only the account owner can run it. You can export a single patient's full record at any time. Halaxy's help article gives no timeframe for the full export, so allow for it. Unused credits aren't refunded. If a practitioner leaves a group practice, they need the owner's consent to keep copies of their patients' records, which is worth agreeing in writing before anyone joins.

Support

Phone support on 1800 984 334 and email, 24 hours a day, Monday to Friday, Australian Eastern Time. There's no live chat. Moving in is free if you do it yourself; Halaxy's done-for-you migration is quoted per job and paid upfront, with 500 free credits included.

Who's behind it

Halaxy was founded in Melbourne in 2012 by Alison Hardacre and Lachlan Wheeler, who still run it, and was called HealthKit until September 2019. It's privately owned, with an office in Cork, Ireland as well. Australian data is hosted on AWS in Australia. The ISO 27001 and PCI DSS certifications its security page mentions belong to AWS; we found no certification held by Halaxy itself. There's no native mobile app that we could find; it runs in the browser.

Who it suits

Halaxy suits solo practitioners and small practices, especially psychologists and counsellors who bulk bill or claim heavily from Medicare, and who'd rather pay per use than a fixed fee. It suits practices that send a lot of SMS and process a lot of card payments less well, because those are exactly the things it charges for, and since October the card fees can't be passed on.
